Curious, captivated or clueless about virtual admin support? Check out these frequently asked questions about VA.

  • Virtual assistants are independent contractors who provide administrative services to clients remotely – usually from their own home-based office. As such, they predominately carry out their work virtually, use their own equipment and are responsible for their own training, taxes, superannuation and leave.

  • There are three key advantages to working with a VA:

    1. Scalability

    When you work with a VA, you have the opportunity to scale up when you get busy or scale back when things slow down.

    2. Flexibility

    Because VAs don’t work in-office, they’re not bound by the usual 9-5. That means they can be available at times that work best for their clients – including when urgent tasks need to be completed, or customer queries require a faster response.

    3. Adaptability

    VAs are incredibly adaptable. They learn fast, are accustomed to working with different programs and on different platforms, and if they can’t help, they’ll be able to find someone who will.

  • Just like any new hire, when you first work with a VA it can take some time for both parties to find their rhythm and groove. VAs also require the office operations they’re working on to be digital or be able to be accessed remotely. Not having an admin assistant in-office can take some getting used to, but the positives far outweigh the negatives, I promise!

  • My priority is to always make sure my clients can trust me to look after their business, and that starts by offering regular touch point meetings and correspondence with you throughout the working week. I do this effectively via email, phone, text, and video calling (Zoom). How we communicate is really up to you – I’m flexible and resourceful, so can work with whatever form of communication you prefer. And if your business operates close to me, I’m always happy to meet in person for a cup of coffee.

  • I’ve always been a people person. I love seeing my clients flourish and thrive, and if I can help them to get there? Yippee! I’ve been in the people-pleasing industry for more than three decades, having owned several of my own businesses between the Indian Ocean and the Coral Sea.

    As such, I understand all of the highs and all of the lows that come with business ownership. I know that the biggest hurdle for a business is not necessarily trying to find clients or managing multiple employees, but – more often than not – in the mundane, day-to-day tasks that pop up constantly. And while the day-to-day office race might not be for everyone, it is my speciality.

    From authentic customer care and clear and concise communication, to my attention to detail and quality workmanship – I love providing my clients with the solutions to their problems, and do so proudly.

  • Depending on the task/s being covered, we can decide on either;

    • Package rates are invoiced and paid in full before work commences. Or if you prefer;

    • An Hourly rate – time is tracked using a software app, and a report is provided for your records. Hourly rates are from $60/hour. Invoices are processed fortnightly or monthly. I use an online time tracking tool to accurately record hours spent on your business, including all of our phone and email communication, and provide you with a time report at the end of each month that matches your invoice. Or perhaps you have a good indication of the work required;

    • A Project based package might suit you better– this is a great way to go when we have a good indication of the regular work outcomes required. The agreed weekly, fortnightly or monthly outcomes are based on a flat rate and invoiced at the start of the job for 50%, the remaining 50% is due at completion of the work.

  • I am incredibly flexible – it’s the nature of the job, after all. However, my work hours will be outlined in our agreement and signed-off by you prior to contract commencement.

  • I understand that things crop up or can change last minute, and you may need admin help immediately. A 25% surcharge will be charged if your job is required with less than 24 hours-notice.

  • Don’t worry – you won’t be left in the lurch. I’ll give you notice of any time off, up to six weeks in advance (where possible).

    It’s my priority to ensure you’re well prepared and taken care of in my absence. In the lead up to any scheduled time off my work commitments will be planned for accordingly, what can be done in advance will be dealt with and in some situations, I may need to delegate tasks to an associate within the industry, someone that I know and trust, to ensure that your business continues to thrive in my absence.

    On some occasions I will be completely unplugged for a period of time and in other situations I will be contactable if something urgent pops up. However, this will be discussed with you in detail, prior to my absence.

  • The security of your business and its information is incredibly important, and as such, I have in place a number of safeguards to ensure you are protected. Prior to the commencement of any work, I will provide you with a working agreement that contains a signed confidentiality agreement stating that your intellectual property is protected. I also work within the code of conduct outlined by the VA Institute, which you’re welcome to review upon request. For extra security, any passwords shared with me are stored on an encrypted password manager. If you have any concerns about how your business’s information is shared or used, please touch base.
